Engaging your team through rituals that are more useful than virtual coffees

Understand what's going on in the company


#1: The launch of the week‍
This meeting can't satisfy everyone, it's the manager's time with
mostly top-down information, which must remain engaging!

When and how to organize it?‍

Monday morning for 45 minutes to 1 hour
Prepare it throughout the week by gathering information
Messages > Information: take 30 minutes on Friday to take back the
information gathered and build your messages.

✅ A good kick-off meeting:

  • Start with THE message of the week
  • Inspire teams: stimulate the curiosity that fuels innovation
    on a daily basis
  • Celebrate victories and interpret failures: to get closer to the day-to-day
    of your teams.
  • Share the news: to check alignment and create engagement

❌ Do not :

  • Confusing information with messages
  • Multiplying messages risks losing impact
  • Trying at all costs to make it a time for everyone to have their say

#2 : Le REX (Retour d'Expérience)
REX are short conferences during which one (or more) people
share the story and results of a recent project, the learning from which should
interest the whole team.

When and how to organize it?‍

At the end of the week at the end of the morning, for 1 hour max.
Be sure not to neglect the rehearsal of the unfolding with the animators.

✅ A good REX:

  • Focus on what you learn from a project
  • Allows everyone to keep an overview of what's going on in the team,
    beyond their own perimeter.

❌ Do not :

  • Get into the "how": avoid, for example, launching the REX with: "we're going to share with you the steps involved in this project...".

Stand-up‍

The objectives of a stand-up are :

  1. Strengthen team solidarity
  2. Take individual temperature

When and how to organize it?‍

In the morning from 9am for 15 minutes (for a team of 5 people:
2-3min/pers.)
2 times a week max.
Manager facilitates stand-up

✅ The structure of a good stand-up :

  • Taking the temperature of "my weather": "halfway through the week, I'm feeling...".
  • Share your news: "I'm working on...", "I've succeeded...", "I'm struggling...".
  • Important information or request for help
  • Manager's conclusion on how employees can
    help each other

❌ Do not :

  • Stepping aside as manager: this is an important role! He distributes the floor, supports employees by helping them to clarify their comments, encourages cross-functionality...

Breaking isolation in the face of problems

The challenge of the moment (or Bring What is On Your Desk)‍

The challenge of the moment is a team time when one or two people come to talk about a challenge or a problem (tension with a customer, a sticking point on a project...) And receive help/advice from other team members.

When and how to organize it?‍

Mid-week late morning, for 45 minutes max.
Encourage employees to be specific in formulating their challenges: "what I can't solve is..."

✅ The structure of a good challenge :

  • The person prepares their challenge and shares it: "I can't..."
  • Others ask questions and offer advice
  • The session leader can summarize the challenges presented. This shows that these sessions are important and help to get things moving.

❌ Do not :

  • Facilitate the session if you're a manager: your teams will be more comfortable expressing themselves and more proactive in finding solutions if you're not there.
